Refund Policy
Last updated: October 24, 2026 · Draft for legal review
Business details and actual service and data practices must be confirmed before this policy is published as final.
1. Scope and status
This policy describes the proposed handling of refunds, cancellations and billing disputes for Google Workspace, Microsoft 365, Azure tenant and pre-warmed inbox services ordered through InboxLeaders.com. It supplements the Terms of Service and the Acceptable Use & Anti-Spam Policy.
The website checkout is currently an order-summary preview that takes no payment. Before paid orders are accepted, this policy must be finalized, and the refund terms confirmed in each order must match it. Nothing here creates a blanket no-refund rule or an automatic refund entitlement; statutory rights always prevail over anything stated in this draft.
2. Cancellations before activation
If you cancel a confirmed order before provisioning begins — before domains are purchased, DNS changes are made or inboxes are created — you may be eligible for a full or partial refund of the charges not yet consumed in service setup. Third-party costs already incurred on your behalf, such as domain registrations or provider licensing, may be deducted where they cannot be recovered.
Once activation starts, orders are generally considered delivered as setup progresses, and cancellation is treated under section 3.
3. Provisioned services
Where provisioned services materially fail to match the confirmed order — for example, the wrong provider, fewer working inboxes than ordered, or missing DNS setup that we agreed to perform — report the issue promptly with your order details. Proportionate outcomes include correcting the setup at no charge, replacing affected inboxes, or a pro-rata refund for the affected period.
Refunds for working inboxes are not provided solely because a campaign underperformed. Deliverability, reply rates and campaign results depend on factors outside InboxLeaders.com’s control, as described in the Terms of Service.
4. Replacements instead of refunds
Where an inbox stops working during an active service period for reasons attributable to the service itself, the first remedy is a free replacement in line with the plan’s replacement terms. Refunds are considered where a replacement is not provided within the timeframe confirmed in the order, or where replacement is not a reasonable remedy.
Loss of provider access caused by the customer’s own sending practices, content, list quality or breach of the Acceptable Use & Anti-Spam Policy is not an automatic refund or replacement event; each case is assessed in context, with providers retaining authority over their own platforms.
5. Pre-warmed inboxes and domains
Pre-warmed inboxes are described by their warmup history in the confirmed order. The one-time per-domain fee covers domain acquisition and setup work that begins immediately, so it is generally non-refundable once domain registration or configuration has started, unless the order is cancelled before that work begins.
“Pre-warmed” does not guarantee inbox placement or campaign results; dissatisfaction based on expected outcomes rather than the delivered service is handled under section 3 and 4, not as an automatic refund.
6. Recurring billing and renewals
When recurring billing is introduced, cancellation instructions, renewal timing and the effective cancellation date will be disclosed in advance. Charges for a billing period already started are generally not prorated on cancellation unless the agreed terms or applicable law require it; the service continues to the end of the paid period.
Before the first automatic renewal of any subscription, notice will be provided where required by applicable law or card-network rules, and you will have a clear way to cancel or change the order.
7. Add-ons and priority plans
Add-ons such as the insured/priority plan are priced and delivered as described in the confirmed order. If a priority commitment is not met, the remedy may include a partial refund of the add-on charge for the affected period or an equivalent service correction, assessed in proportion to the shortfall.
8. Billing disputes
Raise any billing question or dispute through the contact page with your order reference, the amount and the date of the charge, before initiating a chargeback where possible. You can also email hello@inboxleaders.com directly. The current demo form does not send messages.
Disputes are assessed in good faith against the confirmed order and this policy. Rights under mandatory consumer-protection law, including any statutory cancellation or cooling-off rights in your jurisdiction, are not limited by this policy.
9. How refunds are issued
Approved refunds are returned through the original payment method where technically possible. Processing times depend on the payment provider; no specific settlement window is promised in this draft. Where a refund is issued, any associated third-party costs that cannot be recovered may be deducted and itemized.
10. Abuse and enforcement consequences
Accounts suspended or terminated for violations of the Acceptable Use & Anti-Spam Policy or the Terms of Service are not automatically entitled to refunds. Any remaining value is handled under the confirmed order terms and applicable law, assessed on the facts of each case rather than as an automatic forfeiture.
11. Changes to this policy
This policy may be revised before launch and as the service changes. The version that applies to your order is the one confirmed with that order; changes affecting an active subscription are communicated in advance as required by the agreement and applicable law.
This service must not be used for spam, phishing or illegal content. Violations may result in suspension or termination, subject to applicable law and the Terms of Service.
